Privacy Policy

Last updated: October 20, 2025

Look, we get it - nobody actually enjoys reading privacy policies. But we're architects, not lawyers, so we've tried to keep this straightforward and honest about what we do with your info.

The Straight Talk

At Halrion Legends Architecture, we've spent years restoring heritage buildings and designing sustainable spaces. We approach your privacy the same way we approach our projects - with respect, care, and transparency. This policy explains what personal data we collect, why we need it, and what we do (and don't do) with it.

If you've got questions after reading this, just give us a call at (604) 555-0147. We'd rather talk it through than have you confused.

We're not in the business of hoarding data. Here's what we typically gather:

  • Contact Details: Your name, email, phone number, and mailing address when you reach out about a project or consultation.
  • Project Info: Details about your property, design preferences, budget range, timelines - basically the stuff we need to understand what you're looking for.
  • Communication Records: Emails, meeting notes, sketches you've sent us, that napkin drawing from our coffee meeting - we keep records of our conversations to make sure we're on the same page.
  • Website Activity: Basic stuff like your IP address, browser type, pages you visit on our site. Nothing creepy, just standard analytics to see what people are interested in.
  • Professional References: If you're a contractor or consultant wanting to work with us, we might collect your credentials and work history.

That's pretty much it. We don't ask for your social insurance number, we don't track your shopping habits, and we definitely don't sell your data to random companies.

We use your information for pretty obvious reasons:

  • Project Work: To design your space, coordinate with contractors, handle permits, and basically do the job you're hiring us for.
  • Communication: To respond to your inquiries, send project updates, share design options, and keep you in the loop.
  • Legal Obligations: Sometimes we're required by Canadian law to maintain certain records, especially for building permits and regulatory compliance.
  • Improving Our Services: We look at patterns in what clients need to get better at what we do. Not individual snooping - just general trends.
  • Occasional Updates: If you've worked with us before, we might send you an update about new services or sustainability initiatives. But we're not gonna spam you weekly.

We won't use your info for anything unrelated to our architectural services without asking you first.

We're pretty protective of your information. Here's the short list of who might see it:

  • Project Partners: Structural engineers, contractors, suppliers - folks who need to know project details to do their part. They're bound by their own professional obligations.
  • Legal & Regulatory Bodies: When required for building permits, heritage preservation reviews, or other official stuff in Vancouver and BC.
  • Service Providers: Our cloud storage provider, email service, accounting software - companies that help us run our business. They're contractually obligated to keep your data safe.
  • Legal Requirements: If we're legally compelled by a court or government authority, we'll have to comply. But we'll let you know unless we're prohibited from doing so.

We don't sell, rent, or trade your personal information to third parties for marketing purposes. That's not how we operate.

Our website uses cookies - not the chocolate chip kind, unfortunately. These are small files that help the site work properly and give us insights into how people use it.

What we use cookies for:

  • Keeping you logged in if you access project files through our portal
  • Remembering your preferences (like if you've already seen our newsletter popup)
  • Understanding which pages are most popular so we can improve the site
  • Basic analytics through Google Analytics - visitor numbers, page views, that sort of thing

Most browsers let you refuse cookies or alert you when they're being sent. Just know that some parts of the site might not work as smoothly if you disable them.

We don't use advertising cookies or those creepy retargeting things that follow you around the internet.

We take security seriously - probably because we've worked on enough secure facilities to know what good protection looks like.

Our security measures include:

  • Encrypted data storage and transmission (that's the technical way of saying your data is scrambled when it travels)
  • Secure, password-protected servers hosted in Canadian data centers
  • Limited access - only team members who need your info for your project can see it
  • Regular backups so we don't lose your project files if something goes wrong
  • Secure file sharing for sending plans and documents

That said, no system is 100% foolproof. We do our best, but we can't guarantee absolute security. If we ever experience a data breach that affects you, we'll let you know promptly and tell you what we're doing about it.

On your end, please use strong passwords if you access our project portal, and don't share your login credentials with others.

We don't keep your data forever, but we can't delete it immediately after a project either. Here's our general approach:

  • Active Projects: We keep everything related to your project while we're working on it and for the warranty period afterward.
  • Completed Projects: We're required by professional regulations and Canadian law to maintain project records for at least 7 years. This protects both of us if questions come up down the road.
  • Marketing Communications: If you've signed up for updates, we'll keep your contact info until you tell us to stop.
  • Initial Inquiries: If you contacted us but didn't move forward with a project, we'll typically keep your inquiry for about 2 years in case you come back to us.

After the retention period, we securely delete or anonymize your personal information.

Under Canadian privacy laws (PIPEDA and BC's privacy regulations), you've got several rights:

  • Access: You can ask to see what personal information we have about you. We'll provide it within a reasonable timeframe.
  • Correction: If something's wrong or outdated, let us know and we'll fix it.
  • Withdrawal of Consent: You can ask us to stop using your info for certain purposes (though we might still need to keep some records for legal reasons).
  • Deletion: You can request deletion of your data, though there are exceptions when we're legally required to keep it.
  • Opt-Out: Don't want our occasional updates? Just click unsubscribe or let us know.
  • Complaints: If you think we've mishandled your information, you can file a complaint with the Office of the Privacy Commissioner of Canada.

To exercise any of these rights, email us at info@halrionlegends.info or call (604) 555-0147. We'll respond within 30 days.

Our services aren't directed at children under 16. We don't knowingly collect personal information from kids.

If you're a parent or guardian and think your child has given us personal information, please contact us immediately and we'll delete it.

We're based in Vancouver and primarily serve clients in Canada. Our data is stored on Canadian servers whenever possible.

However, some of our service providers (like cloud storage or email platforms) might have servers in other countries, including the United States. When that happens, your data could be subject to the laws of those jurisdictions.

We only work with reputable providers who maintain strong security standards, regardless of where their servers are located.

Privacy laws and our practices might change over time. When we update this policy, we'll change the "Last Updated" date at the top.

If we make significant changes that affect how we handle your existing data, we'll notify you by email or through a prominent notice on our website before the changes take effect.

We'd suggest checking this page occasionally if you're curious about updates, but we'll definitely reach out if something major changes.

If you've got questions, concerns, or just want to chat about how we handle your information, we're easy to reach:

The Bottom Line

We treat your personal information the way we'd want ours treated - with respect and care. We collect what we need to do our job well, we protect it seriously, and we're transparent about what we're doing. If you've got doubts or questions, talk to us. We're architects, not corporations hiding behind legal jargon.
